Adobe Marketo Engage

Marketo consultants who migrate in, merge instances and fix what they inherit

The InHouse Marketers is a B2B marketing operations consultancy whose consultants implement, migrate into and run Adobe Marketo Engage for the teams that own it. Marketo is the platform this firm has published the most delivered work in: five of its nine migrations have Marketo on one side of the move, and three of its integrations write into a Marketo instance.

What does a Marketo consultant do?

A Marketo consultant designs, builds and repairs the programs, fields, scoring and CRM sync that run inside Adobe Marketo Engage. five of the nine migrations The InHouse Marketers has published have Marketo on one side of the move, and three of its six published integrations write into a Marketo instance. The work after go-live is database hygiene, programme QA and the Salesforce sync error log.

The Marketo migrations on the record

Every row below is an engagement our consultants ran, described by sector because clients are never named. Each write-up link reads as the pair a buyer searches for. The full list of 15 engagements sits on the migrations track record.

MarketotoHubSpotsector not publishedMoving from a granular platform to a more opinionated one. Marketo smart campaigns do not collapse into HubSpot workflows one-for-one, so some logic consolidates, some is deliberately dropped, and the decision about which is a conversation, not a mapping exercise. What else writes into Marketo

Marketo is rarely the only system touching the database. These are the published integrations that write into one.

What the audit opens in a Marketo instance

These are the checks from the marketing automation audit checklist that name Marketo, its own tracking script or the Salesforce sync behind it, with the area each one belongs to. They need an admin login and nothing else, so you can run them before the first call. The other checks in the five areas apply to a Marketo instance too.

  • Field fill ratesFor every field (Marketo field, HubSpot property, Pardot prospect field), count the records holding a value and note when it was last written. Few values and no recent writes make a field a candidate to retire. Database health
  • Duplicate person recordsIn Marketo and Account Engagement, count duplicates by email address, including the same address in different casing, and note which system created each copy. HubSpot keeps one contact per email address, so there, look for the same person under a second address. Database health
  • The unsubscribe pathMap the platform’s opt-out field (Unsubscribed, in Marketo) to the CRM opt-out field and any consent fields, and write the mapping down if nobody has. Database health
  • Behaviour and fitCheck whether one score field is carrying both. Account Engagement separates score (behaviour) from grade (fit); Marketo ships one numeric score field and no grade, so fit has to be built as its own field. Lead routing and scoring
  • Triggers in batch campaignsIn Marketo, check that the smart list of every campaign meant to run as a batch holds no triggers. A trigger left in can process a large number of people the moment someone runs an import. Programme structure
  • Tokens and hardcoded linksCheck cloned program folders for token inheritance, and emails for hardcoded URLs where a program token (Marketo) or a snippet (Account Engagement) belongs. Programme structure
  • Sync user field-level securityCheck the Salesforce sync user’s field-level security on every field the marketing platform reads or writes. Custom fields created after the profile was made are where it is usually missing. Sync integrity
  • The tracking scriptConfirm Munchkin, the HubSpot tracking code or the Account Engagement tracking code is on every page, including pages built outside the CMS. Pages without it drop out of source data while every report still runs. Reporting accuracy

Three things Marketo expects you to build

A migration into Marketo is mostly a rebuild of the execution layer, and these are the parts of it that have no equivalent to inherit from the platform you are leaving.

01
Programme structure

Programmes, channels and tokens, designed up front

Workflows become smart campaigns, and the structure Marketo expects has to exist before the first asset lands. The folder tree, the channel list and the token inheritance are decisions taken at the start of the build and inherited by every later step, and a channel's progression statuses cannot be changed afterwards without rewriting what success meant for every program already using them.

02
Scoring

A fit field, because Marketo has no grade

Account Engagement keeps score for behaviour and grade for fit as two values. Marketo ships one numeric score field and no grade, so fit becomes a field someone designs, and the audit check asks whether a single score field has ended up carrying both. The MQL threshold is written down outside the smart list that applies it, and agreed with sales.

03
Workspaces · person partitions

A partition boundary, decided before the first import

A workspace sets which programs a team sees and a partition sets which people exist for it. By default Marketo dedupes on email address across the whole instance, so when a person already in one acquired organisation’s partition fills in another’s form, the existing record is updated and no second record is created. Which behaviour you want is a decision for the start of the build: deciding a partition boundary late means running a data migration inside the migration.

Merging one Marketo instance into another

Our consultants have done this for a web solutions client twice over: several separate Pardot instances into one Marketo instance after a run of acquisitions, and later an acquired competitor’s Marketo instance merged into the parent’s. The second job kept each brand’s database, sending domains and assets separated inside a single licence.

Six decisions come before anything moves, and the ones about people and partitions cost the most to reverse once records have been merged. They are set out in full on the marketing automation consolidation page, with the method in how to merge two Marketo instances after an acquisition.

What we will not do in a Marketo engagement

Every line below has cost someone money when it was promised and then found to be untrue, so each is said once, at the start.

  • Put a date on the migration before the audit. What sets a migration timeline is the complexity of the operational layer, and not the volume of records. Timelines are agreed after a system audit, and the only duration this firm publishes is its own Eloqua to Marketo project, which ran across September and October 2019.
  • Carry activity history into the new instance. Activity history mostly stays behind: opens, clicks, form fills and page views remain in the old platform, so every report or scoring rule with a lookback window restarts at cutover. Nothing in Marketo recovers it, so the baseline reports come out of the old platform before it is switched off.
  • Re-use the old point values. Scoring models are not portable between platforms: a two-dimensional profile and engagement grid does not map onto a single score field, and behavioural decay is modelled differently in each platform. The intent moves and the numbers do not, and the thresholds are agreed with sales before anything routes on them.
  • Switch on partition-level dedupe. That is not in an admin’s hands. Marketo Support enables it, it can be set per input source, and which behaviour you want has to be decided before the first import.
  • Decide whether an acquired brand is retired. That belongs to commercial leadership, because it settles sales territories and whose consent covers which subscribers. Until it is decided, each brand keeps its own workspace and partition and person records stay unmerged.
  • Claim a platform nobody here is certified in. The certifications are Adobe Marketo Engage, HubSpot, Salesforce, Account Engagement (Pardot), Salesforce Marketing Cloud and Oracle Eloqua. If you run Dynamics 365, Klaviyo or anything else, say so on the first call and we will tell you whether we have worked in it.

About Marketo engagements

How long does a marketing automation migration take?

What sets a migration timeline is the complexity of the operational layer, and not the volume of records. People and field values export quickly, while scoring, lifecycle, routing and the CRM sync have to be rebuilt. The InHouse Marketers’ Eloqua to Marketo migration for an aviation agency, which also rebuilt the website’s data-collection layer, ran across September and October 2019. Timelines are agreed after a system audit.

Does Marketo deduplicate people across person partitions?

By default Marketo dedupes on email address across the whole instance, so when a person already in one acquired organisation’s partition fills in another’s form, the existing record is updated and no second record is created. Partition-level dedupe, where the same address can exist once per partition, has to be enabled by Marketo Support and can be set per input source, so form fills and list imports can follow different rules. Decide which you want before the first import.

Does Marketo have a grading field like Account Engagement?

No. Account Engagement separates score for behaviour from grade for fit. Marketo ships one numeric score field and no grade, so fit has to be built as its own field, and the audit check for it asks whether one score field is carrying both. Decide that before the scoring model is rebuilt, because routing and the MQL threshold both read the result.

Can you take over a Marketo instance another agency built?

Yes. The first pass is the published audit checklist across database health, lead routing and scoring, programme structure, sync integrity and reporting accuracy, which reports what is live, dead or broken with the effort and impact of each fix. The initial system audit is free, and the checklist is published in full so you can run it yourself first.

How is Marketo work priced?

One of four ways: a fixed price for a defined scope, hourly for consultative or variable work, a monthly retainer for ongoing operations support, or a quarterly retainer for strategic programmes. Discovery calls and the initial system audit are free. The number of workspaces and person partitions, and the Salesforce connector arrangement, set most of the scope.
